In short
A PIM system (product information management) is one central place where your team collects, enriches, translates and approves product data before it goes to your Magento store, marketplaces and other channels. A small store with one language can live without one. Once you sell in several languages, on several channels or with data from many suppliers, PIM software usually saves time and prevents errors.
What is a PIM system?
A PIM system is software for product information management. It holds everything you know about a product: names, descriptions, technical attributes, variants, categories, images, documents and translations. Your team works on that data in one place, and the PIM sends the finished, approved version to every channel that needs it.
The key idea is a single source of truth. Instead of editing the same product in Magento, in a marketplace account, in a spreadsheet for a supplier and in a print catalogue, you edit it once in the PIM. Each channel then receives the fields, the language and the format it expects.
Typical features of PIM software include attribute families, completeness checks per channel and language, bulk editing, import and export rules, user roles with approval steps, and an API that other systems can read from.
What a PIM system is not
PIM is often confused with other systems that also hold product data. The difference is in what each one is responsible for.
- ERP: the ERP handles orders, stock, purchasing, prices and invoices. It knows the article number and the cost, but it is rarely a good place to write marketing texts in five languages. A PIM usually takes the basic article data from the ERP and adds the rich content.
- DAM: digital asset management stores and organises images, videos and files. Many PIM systems include basic DAM features, but a dedicated DAM goes further with rights, versions and media workflows.
- Magento catalog: Magento 2 can manage attributes, attribute sets, store views and translations itself. But it is built to sell, not to prepare data for other channels, and it has no built-in workflow for enriching and approving product content before it goes live.
Signs your Magento store needs a PIM system
There is no exact number of products at which a PIM becomes necessary. These are the situations where we see Magento teams struggle without one.
- You sell on several channels, such as your Magento store, Amazon, eBay, Bol, Trendyol or Google Shopping, and each one needs slightly different data.
- You run several languages or store views, and translations are copied by hand or live in spreadsheets.
- Product data comes from many suppliers in different formats, and someone has to clean and map it every time.
- Your products have many technical attributes, for example spare parts, electronics, furniture or B2B catalogues, and filters break when values are inconsistent.
- Several people edit products, nobody knows which version is correct, and there is no approval step before data goes live.
- Launching a new product takes days because texts, images and attributes have to be collected from different places.
If two or more of these sound familiar, a PIM system is worth a closer look.
How a PIM system connects to Magento 2
The PIM does not replace Magento. Magento stays responsible for the storefront, the checkout, customers and orders. The PIM feeds it with finished product data. In most projects the flow looks like this.
- Basic article data, such as SKU, EAN and sometimes stock and price, comes from the ERP or from supplier files.
- Your team enriches the products in the PIM: texts, attributes, categories, images and translations.
- The PIM checks completeness for each channel and language, and an editor approves the product.
- A connector or an integration through the APIs sends the product to Magento 2, with the right attribute sets, store views and images.
- Orders, customers and stock updates stay between Magento and the ERP. The PIM is only about product content.
The connector is where most of the work is. Attribute types, option values, configurable products and multi-store setups have to be mapped carefully, and the first full sync should always run on a staging copy of the store.
PIM software options compared
There are many PIM systems on the market. These four are often considered for Magento stores. The table describes them as they present themselves today. Licences and editions change, so check the current terms before you decide.
| Akeneo | Pimcore | UnoPim | Plytix | |
|---|---|---|---|---|
| Type | PIM with a free Community Edition and paid SaaS editions | Platform for PIM, MDM, DAM and content | Open-source PIM with DAM features | SaaS PIM with DAM and feed management |
| Licence | OSL 3.0 for the Community Edition, proprietary for SaaS | POCL since version 2025.1, source-available, not open source by the OSI definition | MIT, open source | Proprietary SaaS, with a free plan |
| Built with | PHP and Symfony | PHP and Symfony | PHP and Laravel | Hosted by Plytix |
| Hosting | Self-hosted or SaaS | Self-hosted or with Pimcore | Self-hosted, on your server or in the cloud | Cloud only |
| Often a good fit for | Teams that want a widely used PIM with a large partner ecosystem | Companies that want PIM, DAM and content in one platform | Teams that want a free, modern open-source PIM they can host and extend | Brands that do not want to run servers |
Other well-known names include Salsify, inriver and Ergonode. The right choice depends less on feature lists and more on your data model, your channels, who will host and maintain the system, and how well it connects to Magento 2.
How to start with a PIM system
A PIM project is mostly a data project. The software is the easier part. These steps keep it under control.
- Take stock of your data: where product information lives today, who changes it and which channels use it.
- Design the data model: attributes, attribute families, categories, variants and which fields are required for each channel.
- Define channels and languages, and decide which data each channel receives.
- Clean and import the data, starting with one category as a pilot rather than the whole catalogue.
- Connect Magento 2 and other channels, and test the sync on staging before it touches the live store.
- Set up user roles and an approval workflow, and train the people who will work in the PIM every day.
Start small, measure how long it takes to launch a product before and after, and extend the PIM channel by channel.
When you do not need a PIM yet
- You sell a few hundred simple products in one language, on one channel.
- One person maintains all product data, and errors are rare.
- Your products have few attributes and no variants.
In that case, clean attribute sets in Magento 2 and a good import routine are often enough. Plan the data model so that a PIM can be added later without starting over.
MageBooster and UnoPim
MageBooster is an official UnoPim partner and works on Magento 2, Mage-OS and Hyvä stores every day. We install UnoPim on your server, in Docker or in the cloud, design the attributes, families, categories and channels around your products, and connect your store, ERP and marketplaces. If you already use Akeneo, we migrate products, variants, categories, attributes, families, channels, languages, images and files, and keep the links between records. A basic PIM takes about 10 days, and projects with ERP links or complex outputs about 2 months.
